6. Payment Information
Payments made through Grounded Movement are processed through third-party payment providers,including Stripe.
Grounded Movement does not have access to clients' full credit-card numbers.
Where a payment method has been saved through Stripe, Grounded Movement may be able to initiate a future charge through its connected payment or booking systems without having access to the underlying full card number.
Payment information is handled according to the applicable third-party provider's privacy and security practices.
7. Third-Party Service Providers
Grounded Movement uses third-party technology and service providers to operate portions of its business.
These may include:
Squarespace — website hosting and website services
Stripe — payment processing
Arketa — booking and client management services
Flodesk — email marketing and newsletter communications
Google services, including Google Analytics — website analytics and related services
These providers may process information on our behalf and may be located outside Canada, including in the United States.
Grounded Movement does not sell or rent personal information to third parties.
We use service providers only where reasonably necessary to operate our business, provide services,communicate with clients, process transactions, or perform other legitimate business functions.
Third-party providers may have their own privacy policies and terms governing their handling of information.
8. International Processing
Some of the service providers used by Grounded Movement operate or process information outside Canada.
For example, services such as Squarespace, Stripe, and Flodesk may involve processing or storage outside Canada, including in the United States.4
When personal information is transferred to or processed by a service provider outside Canada, it maybe subject to the laws of that jurisdiction.
Grounded Movement takes reasonable steps to select appropriate service providers and protect personal information under our control.
9. Website Analytics and Cookies
Grounded Movement may use analytics technologies, including Google Analytics, to understand how visitors use our website and to improve website performance and user experience.
Analytics information may include information such as pages visited, approximate geographic information, device or browser information, and interactions with the website.
Google's policies prohibit customers from sending personally identifiable information such as names and email addresses to Google Analytics. Grounded Movement will not intentionally configure GoogleAnalytics to send such information.
Our website may also use cookies or similar technologies provided by Squarespace, analytics providers,or other third-party services.
You may be able to control cookies through your browser settings. Disabling certain cookies may affect website functionality.
10. Email Marketing
If you subscribe to Grounded Movement's newsletter or otherwise provide appropriate consent to receive marketing communications, we may use your email address to send newsletters, information about services, trainings, workshops, events, and promotions.
Grounded Movement uses Flodesk to manage email marketing communications.
Marketing emails will include an unsubscribe mechanism. You may unsubscribe from marketing communications at any time.
Canadian anti-spam legislation generally requires consent, identification information, and a functioning unsubscribe mechanism for commercial electronic messages.
Unsubscribing from marketing communications does not prevent us from sending necessary transactional or service-related communications.
11. Photography and Video
Grounded Movement may photograph or record workshops, trainings, events, or other group activities for promotional, educational, or documentation purposes.
Where photography or video may be used for marketing or promotional purposes, Grounded Movement will provide appropriate notice and obtain consent where required.
Grounded Movement does not use photographs or video of private clients for marketing purposes without appropriate consent.
If you do not wish to be photographed or recorded at an event, workshop, or training, please follow the consent or opt-out process provided for that activity or contact Grounded Movement.
12. Children's Programs
Grounded Movement may teach children's programs through third-party organizations or facilities.
For the Kids Mixed Martial Arts program operated through the Glebe Community Centre, registration and parent/guardian communication are handled through the community centre.
Grounded Movement does not independently manage the parent registration process or maintain a separate parent marketing database for that program.
Any information received by Grounded Movement in connection with program attendance is used for the administration and delivery of the program.
13. Protection of Personal Information
Grounded Movement takes reasonable measures appropriate to the sensitivity of the information to protect personal information against unauthorized access, collection, use, disclosure, copying,modification, loss, or destruction.
These measures may include appropriate administrative, technical, and physical safeguards.
No method of electronic transmission or storage can be guaranteed to be completely secure.
Grounded Movement will take reasonable steps to respond to privacy incidents and comply withapplicable legal requirements concerning privacy breaches.

Grounded Movement retains personal information only for as long as reasonably necessary to fulfill the purposes for which it was collected, provide services, maintain appropriate records, resolve disputes,meet legal, accounting, insurance, or regulatory requirements, or otherwise as permitted or required bylaw.
When personal information is no longer required, Grounded Movement will take reasonable steps to securely dispose of or anonymize it.
